The 2017 AGM (Annual General Meeting) will be held after the next P&C Meeting on Monday, March 20. General Meeting commences at 6.15pm in the Life Skills Room, entry is via the school side of the hall. The AGM commences approx 7pm.

At the AGM, all executive positions are vacated giving the opportunity for interested parents to apply for the positions of: President, Vice President, Treasurer, Secretary, P&C Qld Rep. 

If you are interested in a position you are welcome to nominate at the meeting or before the AGM.  If nominating before the AGM please contact Debbie at opsmanager@undurbapandc.com for a nomination form. Written nomination is normally used if you are unable to attend the meeting. If you are planning on nominating for a position could we ask that you have a few words prepared telling the members about yourself and your reasons/plans to take a position.  Members cannot vote via proxy they must attend the meeting to vote.


Roles and Responsibilities Overview

The President provides leadership and is the accountable officer of the Association.

Their role is to act as a representative of the Association, encourage communication between the Association, School administration and the community and encourage participation in the Association. The President will be the Chair of meetings and conduct them in an efficient and timely fashion, being familiar with the rules, constitution and other documents governing Association operations.

The Vice-President provides essential support for the President and possibly other members of the Executive Committee.

They will Chair those meetings from which the President is absent and carry out any duties that have been delegated by the President.

They should also be familiar with the rules, constitution and other documents governing Association operations.

 The Secretary collates the agenda papers for each meeting, (including subcommittee reports) and assists the President in preparing an agenda for each meeting. They prepare and present minutes of the Association‘s meetings, record and deal with correspondence in/out as directed and generally organise, record and maintain information pertaining to the activities of the Association.

The Treasurer has the overall responsibility for the financial management of the Association, including all subcommittee accounts. In their role they must comply with the Accounting Manual for P&C Associations in all respects. They assist with preparation for an annual budget and Annual Operational Plan for the Association in consultation with the Association’s Executive Committee. It is the Treasurer's responsibility to keep accurate accounts of receipts and expenditure.

The P&C's primary role is to support the operation of the school, through fundraising initiatives and through positively promoting what is occurring in the school throughout the year. Involvement as a member of the executive team can be rewarding and fulfilling.

All roles within the P&C executive are voluntary. 

Although the P&C has an Operations Manager to look after the day to day running of the P&C, you would need to attend regular P&C meetings and have an expectation to be available 1 to 2 hours per week.
